How to use your Exygy Freshbooks account

8 November 2009

Earlier this year we migrated our time tracking and invoicing system to Freshbooks.  We’ve been absolutely thrilled with it so far!  In this article, we’ll discuss briefly how our clients can use their Exygy.Freshbooks account.

1. Logging in to your Exygy.Freshbooks account

2. Looking at hours worked on your project by Exygy

3. Checking and settling invoices

1. Logging into Exygy.Freshbooks

You should have already received an email with your Exygy.Freshbooks username and password.  If you don’t have this info, please contact us.

The email will contain:

a) Link to the Exygy.Freshbooks site: https://exygy.freshbooks.com
b) Username to login to your Exygy.Freshbooks account
c) Password to login to your Exygy.Freshbooks account

The email will look like this:

Exygy.Freshbooks // Username and Password

To login, click on the URL in the email and enter the username and password here:

Exygy.Freshbooks // Login Screen

If this is your first time logging in to your Exygy.Freshbooks account, you’ll be asked to change your username and password.  Remember to write down your login information in a secure place!
This screen will appear only the first time you login.
This screen will appear only the first time you login, but you can always change your info by clicking on the “Profile” link at the top right of your Exygy.Freshbooks account.

Now you’ll find yourself on your Exygy.Freshbooks home page:

2. Looking at hours worked on your project via Exygy.Freshbooks

Click on the “Project” tab in the Main Navigation bar at the top of the screen (see screenshot above).

Here’s you’ll see a summary of the projects Exygy is working on for you, a number of unbilled hours (so you can keep an eye on your budget), and a total number of hours worked all time:

Exygy.Freshbooks // Project Overview Page

Click on any of the projects in the list.  You’ll find yourself on the Project Details page which will break down this project by task (Management, Development, Design, etc.), and show you how many hours have been worked per each day and each week this month:

3. Checking and Settling Invoices

If you have not yet been invoiced for work, you may not see the “invoice” tab in your top navigation bar.  As soon as you receive your first invoice from Exygy, this will be an option.

To get more info on your outstanding invoices and your full invoice history, click on the Invoice Tab in the top navigation bar.  You’ll find yourself in the “Invoice List” page:

Exygy.Freshbooks // Invoice List Page

Here you can see a summary of all invoices with invoice status (paid vs. outstanding) clearly indicated.

To get more details on any invoice, click on the hyperlinked invoice number in the left hand column.  You’ll find yourself on the invoice detail page:

From this page you can see the details of any invoice, find our address to mail your check to, or click to pay by credit card via PayPal or Google Checkout (if enabled for your account).

OK!  There’s lots more to Exygy.FreshBooks which we’ll try and cover in another article soon.  If you have any questions please don’t hesitate to contact us!
